Questions about Sawargi
The 38 questions committees and residents ask most — from how dues work to how your data is kept. Not finding your answer? Get in touch.
Getting started
What committees usually ask before they sign up.
What is Sawargi?
Sawargi manages the money and the membership of a neighbourhood association — an Indonesian RT, RW, paguyuban, housing estate or gated cluster. The committee records the cash book and the dues; residents check the reports and their own bills from their phones.
Can we try it for free?
Yes. Every new community gets a 30-day trial, at no cost and with no credit card, so you can test cash and dues recording before deciding. During the trial the household count is capped at 30, and three Basic-tier features stay off: News & announcements, the document repository, and Resident Reports. All three switch on when you subscribe.
What happens if the trial ends and we have not subscribed?
Nothing is deleted. The community becomes read-only: the committee and residents can still open and download every cash, dues and report record, but new entries stop until a subscription is active. Subscribing restores everything as it was.
How long before our community can start using it?
Once your registration is approved we create the community and the chair’s account. From there the committee adds blocks, houses and residents — most communities are running the same day.
What about our existing records (cash book or spreadsheet)?
Existing balances go in as an opening balance per cash pocket, and transaction history can be imported. For Founding Member communities we migrate up to the last year of data free of charge.
Who in the community actually uses the app?
The committee — chair, vice chair, treasurer, general committee — records and manages. Residents see reports, their bills, news and the community features. Security guards can be given a limited account for attendance and the directories.
Dues & resident payments
How bills, arrears and payment recording work.
How do automatic dues work?
You set the name, the amount and the schedule (monthly, yearly or one-off). The current period’s bill is raised automatically for every house, and when a payment is recorded the bill is settled and booked as cash income in the same step.
What about residents who have no smartphone?
Not a problem. Dues attach to the house rather than to a person. The committee can record a payment for a house whose occupants have no account, and reminders go to that house’s contact email (free) or, failing that, to its contact number over WhatsApp.
How are arrears calculated?
Unpaid bills accumulate as arrears, and every payment is applied to the oldest bill first. The committee can open the arrears list per house at any time.
What if a resident pays an amount that is not exact?
The excess is held as house credit and spent on the next bill automatically. If the amount is less than one bill it is held as credit until it covers a full month.
Is there a late fee?
Optional. A late fee can be switched on per community with an amount set per type of dues, and it is never applied retroactively to arrears that already existed when you turned it on.
Can residents pay their dues online?
Yes, on the Premium plan. The community connects its own payment-gateway account, so the money lands in your community’s account — not ours. Manual channels (bank transfer, QRIS, cash, or via the security guard) are available alongside it.
What does the payment gateway cost, and who pays it?
Sawargi takes no cut of resident dues. The only cost is the gateway provider’s own fee (MDR), set by that provider and the payment type; QRIS is typically around 0.7%. Because the gateway account belongs to the community, that rate is your agreement with the provider, not with us. In the app the committee chooses who bears it: the community cash (the default), or added to the resident’s bill.
What if the committee records a payment by mistake?
The treasurer can reverse it. Reversing restores the bill’s status and removes the matching income entry, so the cash book stays consistent.
Cash, reports & transparency
How money is recorded and what residents get to see.
What can residents see about the finances?
Residents see income, expenses, the cash balance and the community’s transaction history — including the opening and closing balance for each month. This openness is the point of Sawargi.
Can we keep more than one cash pot?
Yes. Alongside the main "Kas Warga" pot you can create others — a recycling-bank pot, an events pot — from the Standard plan up, with transfers between them.
Can reports be downloaded?
Yes, from the Standard plan. Transaction reports, arrears, the resident list, per-house dues cards and the monthly financial statement all export to Excel or PDF with your community’s letterhead.
Is there an audit trail of who changed what?
Yes. Every significant change is written to an audit log, which the chair, vice chair and treasurer can read on the Premium plan.
Community features
Beyond the money, Sawargi supports day-to-day neighbourhood life.
What is there besides finance?
News and announcements, a document repository and Resident Reports come with Basic. The resident marketplace and the security-guard directory start at Standard. The emergency (SOS) button, home-business profiles and the resident points programme are Premium.
How does the emergency (SOS) button work?
A resident slides the SOS control and the alert goes to the audience they chose — everyone, the committee, one block, the guards, or a custom list. Recipients are notified and can respond; only the committee or the sender can close the alert.
What is the resident marketplace?
A classifieds board for goods and services between residents of the same housing group. A listing belongs to a house, is moderated by the committee, and buyers contact the seller over WhatsApp — there is no checkout inside the app.
Can security guards be given accounts?
Yes, from the Standard plan. A guard gets a restricted account for shift check-in and check-out, the resident and house directories, and their own roster.
Sawargi AI & WhatsApp
The features that cut the committee’s paperwork down.
What is Sawargi AI?
An optional add-on for the Standard and Premium plans that takes on the writing and the typing: turning a photographed receipt into an expense entry, drafting a news post, summarising the financial position, and writing a listing description.
Can you really record cash over WhatsApp?
Yes. Since the latest version the same thing is available as a chat inside the app ("Asisten AI"), which uses no WhatsApp quota at all. The treasurer writes a message like "beli galon 5 total 45rb", or photographs the receipt. The system reads it and replies with a summary, and the transaction is only written once the treasurer approves. Resident dues payments can be recorded the same way.
Can the AI change the finances without approval?
Never. The AI only prepares a draft; every entry that moves money has to be confirmed by a person first. Residents’ own financial figures are also never sent to an AI service for questions the database can answer directly.
Are there automatic dues reminders?
Yes, and always down the cheapest channel first. App notifications are free and can be scheduled a few days before or after the due date. Email reminders go to the house contact email — free, and the address fills itself from the head of household’s account if the committee has not set one. WhatsApp is used for a house where nobody uses the app, or where every occupant has gone more than a month without opening it; the channel is free to switch on, but each message spends Rp450 of quota, because Meta charges us per message.
Pricing & subscription
Priced per community, not per resident.
What does a "block" mean in the AI and household quotas?
Blocks now apply only to household quota: each block adds 25 households above your plan’s cap, is billed monthly, and can be given back if unused. Sawargi AI and WhatsApp reminders no longer use blocks — both are free to switch on, and their quota is bought up front per unit (Rp75 an AI operation, Rp450 a WhatsApp message), once, with no expiry.
How is it priced?
Three subscription plans — Basic, Standard and Premium — each with a household cap (75 / 150 / 300) and a different feature set. Before choosing, every new community gets a 30-day trial (up to 30 households, and without News, Documents and Resident Reports); the trial is not a plan you can stay on. Paying annually saves the equivalent of two months.
What if we outgrow our plan’s household cap?
There is a household add-on for the Standard and Premium plans that raises capacity in steps, without having to move plan.
How do we change plan?
An upgrade or downgrade is requested from inside the app by the chair, vice chair or treasurer, and we process it. Billing follows on the next period.
How do we pay for the subscription?
Subscription invoices can be paid online from inside the app, or by manual transfer with the proof of payment uploaded for us to verify.
Data, security & privacy
How your community’s data is looked after.
Is our financial data safe?
Each community’s data is separate and reachable only by that community’s members, according to their role. Every permission check happens on the server rather than in the app, so it cannot be worked around from a phone.
Where is our data stored?
On our own servers, located in Indonesia, with daily backups. We do not sell or share your community’s data with third parties.
Who can see residents’ personal data?
Access is limited by role. A security guard’s salary, for example, is visible only to authorised committee members, and in the reports residents can open, the payer’s name is withheld.
What if we want to leave and delete our data?
You can request deletion of the account and the community’s data at any time from the Delete Account page. Data can be exported first.
Technical
Devices and other practicalities.
Which devices is it available on?
The Sawargi app is currently available for Android. An iOS version is in preparation and will follow.
Does it need an internet connection?
Yes — data is always synchronised with the server so that every committee member and resident sees the same figures. Data usage is light.
How do we update the app?
The app tells you when a new version is out and takes you to the update, so the committee does not have to check by hand.
Still unsure?
Try it for 30 days at no cost, or just ask us about your community's situation.
